Our Approach to Work

Earth Coast Productions operates as a hybrid team built on trust, flexibility, and clear communication. We believe great work happens when people have autonomy over where and how they work, balanced with the collaborative needs of live event production.

Whether you’re working from home, our Broomfield studio, or a client venue across the country, we’re committed to creating a sustainable, supportive work environment that allows you to do your best work.


Workplace Structure

Hybrid by Default

Most roles at Earth Coast Productions are hybrid, meaning:

  • Work from anywhere most of the time (home, co-working space, coffee shop, etc.)
  • On-site presence required for:
    • Event productions at venues and client locations
    • Production prep and gear management at our Broomfield, CO warehouse/studio
    • Annual team offsite workshop
  • Flexible scheduling around production calendars and project needs

Colorado-based team members are prioritized for local opportunities and have more frequent access to our Broomfield facility and Colorado-based events.

Fully Remote Roles

For certain positions and strong candidates, we offer 100% remote arrangements with no required in-person presence. Remote team members:

  • Can be located anywhere in the USA or Canada (preferred), or worldwide with ability to align to Mountain Time
  • Join all meetings and collaboration virtually
  • Are not expected to attend local Colorado productions
  • May be invited to join national events and annual team gatherings (travel covered)

Location & Time Zone

Where You Can Work

  • Preferred: Colorado (Front Range), USA, or Canada
  • Accepted: Worldwide, with the ability to align core working hours to Mountain Time when needed

Core Hours & Availability

  • Core hours: Monday–Friday, 9:00 AM – 5:00 PM Mountain Time
  • Daily team check-in: 9:00 AM MT via Google Meet (M-F)
  • Response expectation: Within 24 hours for client and team communications during business days
  • Flexibility: Work schedule can flex around production demands, personal needs, and time zone differences with advance communication

On-Site Expectations

For Hybrid Roles (Colorado-based)

Typical on-site frequency: 1-4 times per month, depending on production schedule

You’ll be on-site for:

  • Local event productions (setup, execution, breakdown)
  • Gear prep and equipment management at the Broomfield warehouse
  • Pre-production meetings and walkthroughs when needed
  • Client meetings or site visits (occasional)

Travel for national events: 1-4 times per year for larger conferences and client productions across the USA (all travel expenses covered)

For Remote Roles

  • No required on-site presence for day-to-day work
  • Optional participation in annual team offsite (travel covered if attending)
  • Potential invitation to join major national productions (discussed case-by-case, travel covered)

Team Collaboration & Communication

Meetings & Check-ins

  • Daily standup: 9:00 AM MT, Google Meet (15-20 minutes)
  • Manager check-ins: Every 30 days during onboarding period, then as needed
  • Performance reviews: Every 6 months
  • Annual team offsite: 1-2 days per year, in-person gathering for strategic planning and team building

Communication Tools

  • Project management: Notion
  • Client communication: ActiveCampaign (CRM), email
  • Internal collaboration: Google Workspace, Google Meet
  • Async updates: Google Chat or email (depending on urgency)

Communication Norms

  • Default to async communication when possible (Notion updates, email)
  • Use real-time communication (Meet, phone) for time-sensitive or complex topics
  • Document decisions in Notion for team visibility and continuity
  • Respect focus time – we trust you to manage your schedule and protect deep work time

Equipment & Technology

Your Setup

  • Bring your own device (preferred): Most team members use their own laptop and equipment
  • ECP-provided equipment: Available if needed – just ask
  • IT support: We’re here to help with any tech troubleshooting, software needs, or equipment questions

Software & Tools

We provide access to:

  • Google Workspace (email, Drive, Meet, Calendar)
  • Notion (project management)
  • ActiveCampaign (CRM)
  • Any production-specific software needed for your role

Travel & Expenses

Event Travel

For productions requiring travel (flights, overnight stays):

Covered by ECP:

  • Roundtrip flights or mileage reimbursement
  • Hotel accommodations
  • Meals and incidentals during travel
  • Ground transportation (rideshare, rental car, parking)

Travel day compensation:

  • Hourly team members receive a travel day stipend for time spent flying or driving to/from events

Mileage & Local Travel

  • Mileage to/from our Broomfield warehouse or local event venues is reimbursed at the current IRS standard rate
  • Parking and tolls reimbursed with receipts

Expense Reimbursement Process

  • Submit expenses with receipts via Google Forms
  • Reimbursement processed within the next pay cycle

Compensation & Benefits

Pay Structure

  • Hourly rates: Based on role and experience level
  • Pay schedule: Monthly
  • Performance reviews: Every 6 months, with potential rate increases based on client ownership, revenue impact, and role growth

Time Off

Company Holidays (Paid): Earth Coast Productions is closed on the following holidays:

  • New Year’s Day (January 1)
  • Orthodox Christmas (January 7)
  • Earth Day (April 22)
  • Independence Day (July 4)
  • Halloween (October 31)
  • Thanksgiving Day
  • Christmas Day (December 25)
  • New Year’s Eve (December 31)

Personal Time Off:

  • Additional time off is unpaid – coordinate with your manager in advance
  • We encourage you to take time when you need it and trust you to balance personal needs with production schedules

Flexibility:

  • Work schedule can flex around production demands and personal commitments with advance communication
  • We value sustainable pace and reasonable boundaries

Growth & Development

  • Clear growth trajectories: Roles designed with progression pathways (e.g., Coordinator → Producer → Lead)
  • Mentorship & knowledge transfer: Support from senior team members and founders
  • Skill development: Opportunities to learn new aspects of production, client management, and business operations

Onboarding & Trial Period

First 30 Days

  • Trial period: All new hires start with a 30-day trial to ensure mutual fit
  • Manager check-ins: Weekly during first month
  • Training & support: Access to outgoing team members, documentation, and hands-on guidance
  • Goal: Get you set up for success with tools, workflows, clients, and team rhythms

First 6 Months

  • Monthly check-ins transition to as-needed
  • 6-month performance review with feedback, growth discussion, and potential compensation adjustment
  • Increasing ownership of client relationships, projects, and responsibilities based on your growth trajectory
